The wedding package provides a coordinator to act as a liaison between the couple and family members, the wedding party, and all vendors to create a seamless event. The individuality of the wedding couple is the focus of RSVP Events. Our goal is to develop a tailor made event to fit your style, eliminate your stress and provide you with a lifetime of memories to treasure forever.
Description of Services
Before the Wedding:
Rehearsal:
Wedding Day – Ceremony:
Wedding Day – Reception:
- Initial phone consultation
- Referral to wedding vendors (as needed)
- One (1) site visit and walk through of ceremony and reception venue
- Contact vendors at least 1 month in advance to confirm details
- Creation of customized event timeline
- Create floor plan (as needed)
- Create inventory checklist of items to be given to coordinator
- Provide Event Timeline to wedding couple
- Distribute timeline to vendors approximately one week before wedding
- Unlimited email communication
Rehearsal:
- Complete coordination of ceremony rehearsal and orchestration (up to one hour)
- Collect remaining personal items
- Collect final service providers’ payments and gratuities for wedding day distribution if needed
Wedding Day – Ceremony:
- Set up of Ceremony site with décor and programs
- Oversee bridal party
- Ensure that bridal party flowers are delivered and distributed
- Direct ushers as needed
- Help greet and direct guests as needed
- Line up bridal party and cue musician/music
- Facilitate the transition from ceremony to reception
- Direct guests to reception site as needed
Wedding Day – Reception:
- Remain on site for the entirety of the event.
- Complete wedding coordination from set up through clean up
- Ensure venue and equipment has been set up according to floor plans
- Set up event decor and all other personal items such as escort cards, guest book, family photos, etc
- Manage all vendors and ensure timeline is followed
- Direct guests to their seat
- Cue vendors, Master of Ceremony and bridal party for all relevant events such as announcements, first dance, toasts, cake cutting, bouquet toss, etc.
- Distribute final vendor payments and tips as needed
- Clean up after event and supervise vendor cleanup
- Return decor and gifts to designated individual
- Ensure venue is left in same condition as received
- Check in with venue manager at end of evening (if applicable)
